How does Issuetrak define Report Permissions?

There are currently three User / Group permissions related to Reports and Saved Searches in Issuetrak. They are listed under the "Administration" section when adding or editing a User / Group record.

Can add, edit and run Report Writer Reports

  • Controls the ability to select the Reporting > Custom Reports and Reporting > Scheduled Reports menu options from the left menu.
  • Allows a user to manage (ie, Modify / Delete) Custom Reports reports that they created as well as  reports that are Shared in which they have access.

Can add, edit and run shared Saved Searches

  • Grants the ability to create, retrieve, and share saved searches on the Search screen.
    • Checking the "Share" checkbox makes the saved search available to all selected users.
  • Allows the user to edit or delete their own saved searches, as well as any shared searches.

Can run built-in Summary Reports

  • Controls the ability to select the Reporting > Summary Reports menu option from the left menu.

Menu Access

There are two User / Group attributes related to Reports and Saved Searches in Issuetrak. They are listed under the Menu Options/Pages Allowed section when adding or editing a User / Group record.

Search Issues

Controls the ability to select the Search Issues menu option.

If the below permission is granted, Search Issues will automatically be checked (and cannot be unchecked):

  • Can add, edit and run shared Saved Searches

Reports

Controls the ability to select items from the Reporting menu option. The user must also have one of the following permissions in order for this menu option to display:

  • Can run built-in Summary Reports
  • Can add, edit and run Report Writer Queries and Reports

Report Filtering

Reports and Saved Searches, by default, can only be seen by the users who create them and users with any of the Administration permissions (except for User Administrator) enabled.

Report Access

  • In all cases having Can access and maintain Administration functions (or Sys Admin ) provides access to view any Saved Search, Report or Report Schedule as well as edit capability; having Allowed Read Only access to Administration information provides access to view any report or schedule, but does not allow edit capability unless the user has edit permissions without the Allowed Read Only access to Administration information attribute.
  • Custom Report “Shared access” means a user can access a report if it is:
    • Shared with the user specifically.
    • Shared with a group the user is a member of.
    • Shared with Everyone.
      • Note: If a user belongs to an Internal Organization, they will only see their own reports and reports shared with Everyone for their specific Primary Organization.
  • Saved Search report “Shared” access means Shared with *Everyone.
  • Saved Searches will be limited by Organization if the user is in an Organization that is Internal.
Note: * "Everyone" means everyone in the report editor's Primary Organization.
